Applications to hold an event at the 39th Moscow International Book Fair may be submitted by Fair Participants and by organisations that are not Fair Participants.
For the purposes of these guidelines, Fair Participants are organisations that have registered for the Fair with an exhibition stand or a custom participation package.
Fair Participants may hold events without additional payment for organisational and technical support within their programme quota. The size of the quota depends on the area of the exhibition stand or on the terms of the individual participation package.
For organisations that are not Fair Participants, holding an event at the Fair is a paid service provided in accordance with the approved rates for organisational and technical support.
All applications will be reviewed after the submission deadline. When programme slots are allocated, priority will be given to applications from Fair Participants. Applications from organisations that are not Fair Participants will be considered only if programme slots remain available.
If you wish to hold more than one event, you must submit a separate application for each event.
Submission of an application does not guarantee inclusion of the event in the Fair programme. When the programme is being formed, consideration is given to whether the applicant is a Fair Participant and, where applicable, to the relevant programme quota. The thematic relevance of the event, its substantive value, expected audience interest, technical feasibility, the availability of programme slots, and the overall flow and balance of the programme are also taken into account.
If your event is approved for inclusion in the programme, the curator of the relevant thematic track will contact you. Please provide a valid email address and an up-to-date phone number where you can be reached.
Terms and Conditions for Fair ParticipantsFair Participants may hold events without additional payment for organisational and technical support, provided that such events fall within the programme quota.
The programme quota is the number of events that a Fair Participant may hold without additional payment for organisational and technical support, provided that the event is approved by the MIBF Directorate.
The size of the programme quota depends on the area of the exhibition stand or on the terms of the individual participation package:
- stand of up to 9 sq m — no programme quota is provided;
- stand of 12–17 sq m — no programme quota is provided;
- stand of 18–26 sq m — one event;
- stand of 27–35 sq m — one event, with the option to submit an additional application;
- stand of 36 sq m or more — two events.
Events proposed by Fair Participants with custom participation packages are agreed separately in accordance with the terms of the package.
Events exceeding the programme quota may be held by agreement with the MIBF Directorate, subject to the availability of programme slots. Such events are subject to an additional charge in accordance with the approved rates for organisational and technical support.
Terms and Conditions for Non-Participating OrganisationsOrganisations that are not Fair Participants may also submit an application to hold an event at the Fair venue.
For non-participating organisations, holding an event is a paid service. An invoice will be issued after the event has been approved by the MIBF Directorate.
The MIBF Directorate reserves the right to propose an alternative format of participation in the programme, including a joint event, a thematic discussion, a presentation block, a signing session, or participation in a professional session.
